Door to Door?

Door to Door

Incoterms?

Door to Door

6
Incoterms

EXW, FOB, CIF, DAP, DDP —

7
  • Commercial Invoice ו-Packing List

Welcome to the World of Import & Export

A practical guide for anyone starting out with international freight — and what you need to know before requesting a quote

Importing or exporting goods can sound complicated: suppliers, documents, ships, flights, customs, ports, costs, insurance, and cargo clearance. In practice, when the process is organised and managed by a professional who coordinates everything, international shipping becomes far clearer and more manageable.

This is where the international freight forwarder comes in. A freight forwarder organises and coordinates the movement of goods from one country to another. The forwarder is not necessarily the owner of the ship, aircraft, or truck — they are the manager of the entire logistics process.

What Does a Freight Forwarder Do?

A freight forwarder can handle various stages of the process depending on the client's needs:

  • Collecting goods from the overseas supplier
  • Coordinating inland transport to the port or airport
  • Booking space on a vessel, aircraft, or truck
  • Evaluating sea, air, and land shipping options
  • Preparing shipping documents
  • Coordinating with overseas agents and customs agents
  • Tracking the shipment
  • Coordinating customs clearance
  • Arranging delivery to the client's warehouse, business, or home

Not every shipment requires every step. Some are straightforward; others require standards checks, import licenses, regulatory approvals, special handling, insurance, storage, unloading, or oversized transport.

New Importer — What You Need to Know

If you are importing goods into Israel for the first time, understand that the price you pay the overseas supplier is only part of the picture. Beyond the product cost itself, additional charges may include:

  • Inland transport from the supplier to the port or airport
  • International freight
  • Port charges and fuel/security surcharges
  • Import duties, customs, and VAT
  • Customs brokerage
  • Standards tests or approvals
  • Storage, if there is a delay
  • Inland transport within Israel
  • Cargo insurance

New Exporter — What You Need to Know

If you are sending goods from Israel abroad, the process is similar but in reverse. You need to know the destination, who is receiving the goods, the trade terms, who pays for transport, and which documents are required for the consignee to receive the goods. For exports, pay particular attention to:

  • A clear commercial invoice and accurate description of the goods
  • Appropriate packaging and correct marking of cartons or pallets
  • Certificates of origin, if required
  • Compliance with the destination country's requirements
  • Early coordination with the overseas buyer on shipping terms
Errors in documents or goods descriptions can cause delays at the destination, additional charges, or problems with the client.

Sea, Air, and Land Shipping — What's the Difference?

Sea Freight

Best for large, heavy, or less time-sensitive shipments. Generally the most economical option for significant volumes.

FCL — Full Container Load (20ft or 40ft)

LCL — Less than Container Load, consolidated with other cargo

Air Freight

Ideal for urgent, high-value, relatively small, or time-sensitive shipments. Faster than sea — but generally more expensive.

Land Freight

Suitable for transport between neighbouring countries, or as part of the full routing — e.g. collection from the supplier to the port, or delivery from the port to the warehouse.

What Is Door to Door?

When a client requests a Door to Door quote, this means the forwarder is pricing the entire route from the collection point to the final delivery address — for example, from the supplier's warehouse in China to the client's warehouse in Israel.

Door to Door does not always include every cost automatically. Always request a detailed quote and verify exactly what is included: customs duties? VAT? standards checks? storage? unloading? insurance? inland delivery?

What You Need to Know About Incoterms

One of the most important elements of a shipping quote is the trade terms agreed between buyer and seller — Incoterms:

  • EXW — The buyer is responsible for almost the entire process, including collection from the supplier.
  • FOB — The supplier delivers the goods to the port of origin and loads them onto the vessel.
  • CIF — The supplier includes freight and insurance to the destination port, but not necessarily clearance or inland delivery.
  • DAP — The forwarder delivers to the destination address, but typically without paying import duties.
  • DDP — The price generally includes import duties and broader seller responsibility — but verify this carefully.

For new importers: do not sign an agreement before understanding who pays for each stage and who bears each risk along the way.

Information Required for a Door to Door Quote

To provide an accurate quote, a freight forwarder needs clear information about the goods, collection point, destination, trade terms, and any special requirements. The more precise the information, the more reliable the quote — and the fewer surprises later.

1
Where are the goods being collected from?
  • Supplier name, full address, city, country, postcode, and contact details
  • Whether the goods are ready for collection and warehouse operating hours
  • Whether a forklift or loading equipment is available on site

"China" or "Germany" is not enough — there is a big difference between a port-city pickup and a factory hundreds of kilometres inland.

2
Where are the goods being delivered?
  • Company name, full address, city, country, postcode, and contact details
  • Whether it is a warehouse, shop, factory, office, or private residence
  • Whether there is truck access and what is needed for unloading: forklift, ramp, crane
3
What are the goods?
  • Clear description, intended use, main materials, brand and model
  • Whether the goods are new or used
  • Whether the product is fragile, sensitive, high-value, hazardous, or under regulatory supervision

Descriptions like "goods" or "parts" are not sufficient and may cause customs delays.

4
Packaging details, weight, and volume
  • Number of cartons / pallets and dimensions of each piece (L × W × H)
  • Gross weight per piece and total weight and volume
  • Whether goods can be stacked and whether orientation must be maintained

Freight pricing is based on weight or volume — whichever is greater.

5
Value of the goods

Required for duty calculations, insurance assessment, risk evaluation, and customs processing. The value must be accurate and consistent with the documents — a false declaration can cause serious problems with customs.

6
Trade terms — Incoterms

EXW, FOB, CIF, DAP, DDP — state what was agreed with the supplier so the forwarder knows exactly where their responsibility begins.

7
Existing documents
  • Commercial Invoice and Packing List
  • Supplier quotation, product catalogue and technical specifications
  • Photos of product and packaging
  • Certificates of origin, standards approvals, and MSDS/SDS if applicable
8
Does the shipment require special handling?
  • Fragile, dangerous goods, lithium batteries, chemicals
  • Food / temperature-controlled products, medical equipment
  • High-value cargo, oversized dimensions, requiring crane or special unloading

Failing to disclose this in advance can cause delays, price changes, or refusal by the airline or shipping line.

9
Readiness date and urgency
  • When the goods will be ready for collection
  • Whether there is a delivery deadline
  • Whether a lower cost or a shorter transit time is the priority
10
Cargo insurance

Insurance is not always automatically included. Ask what is covered. Shipping lines and airlines have limited liability — for valuable, fragile, or sensitive shipments, cargo insurance is strongly recommended.

11
What does the quote include in terms of taxes and customs?
  • Customs duties, purchase tax, import VAT
  • Port charges, customs brokerage, standards tests
  • Storage, local surcharges, inland delivery to destination

Not every Door to Door quote includes taxes. Sometimes taxes are paid separately by the importer.

Example of a Good Quote Request

Hello,
I would like a Door to Door quote for a commercial import shipment.

Collection: Full address of the overseas supplier.
Delivery: Full address in Israel.
Goods: Clear product description.
Quantity: 5 pallets.
Dimensions: 120×100×150 cm per pallet.
Weight: 350 kg per pallet.
Cargo value: USD 8,000.
Trade terms: EXW / FOB / CIF etc.
Goods ready for collection: ____.

Attached: supplier invoice, packing list, photos and technical spec.
Please indicate whether the quote includes customs clearance, taxes, inland delivery, and insurance.

Bottom Line

To receive a good Door to Door shipping quote, it is not enough to ask "how much does it cost to ship from China to Israel?". You need to know what the goods are, where to collect from, where to deliver, the weight and volume, the trade terms, the value, and whether there are any special requirements.

The more precise the information, the more accurate the quote, the fewer surprises, and the more professionally the shipment can be managed.
